Client Overview

PCBL Chemical Limited is the largest carbon black producer and one of the major manufacturers of specialty chemicals in India. The company has over 60 years of industry experience. The organization has several manufacturing plants and provides services in over 50 countries.

As the organization grew, there was a need for a better way for employees to access company information, business applications and HR services. To address this need, PCBL partnered with Enaviya to build a modern SharePoint Intranet Portal that provides a single place to share company information, resources, self-service applications and employee engagement. Moreover, the portal will provide better communication between employees and will help maintain the connection of employees within the organization.

Client Requirements

Our client needed an intranet portal that would be modern, easy to navigate, and accessible to all employees. The primary objective was to enhance communication as well as to create a single platform for all company-related business applications, company products, and employee service functions. In addition, the organization needs a secure, scalable, and mobile-friendly platform that could connect with its existing business systems.

Project Summary

Our client’s goal was to develop a new intranet portal that will advance communication throughout the company. All employees across organizations have multiple systems to gather company information (Example: accessing email, business application and HR services). Thus, they had difficulty in finding information quickly and staying connected to company announcements.

Using SharePoint Online (Microsoft 365), Enaviya developed an Intranet Portal that addresses the various issues that they face in the workplace. The Intranet Portal is a single point of access to all company news, business applications, employee services, and other vital resources for its employees. The portal also contains links to existing business systems that create a seamless user experience for the employees.

Overall, the portal has enhanced communication, employee’s engagement, and access to business resources. Employees now have quick access to all the information needed and Administrators can manage and publish everything from one location.

Challenges

Prior to launching the intranet portal, our client faced several obstacles such as communication management and information exchange throughout the organization. Employees are required to access different systems to obtain company resources or business applications. This impacted on productivity and decreased employees’ engagement.

Internal Communication

News, announcements, and significant updates of the company were communicated through a variety of channels. This resulted in poor communication.

Multiple Business Systems

Employees had to use many different applications to have access to human resource services, IT support, and other workplace tools.

Accessing Information

Corporate policies and standard operating procedures (SOP's) are located in various locations. Therefore, it took a long time for employees to obtain the correct information.

Employee Engagement

There was no single platform for employee recognition, celebrations, company events, and leadership communication.

Location based updates

Company employees from different manufacturing units had trouble finding out what was happening in their local area. Such as local news, events, and other important updates.

Content Management

Updating company news and adding new content regularly took too much time. The admins who maintained the portal had difficulty keeping the information updated.

System Integration

Employees had to use different business systems every day. The organization needed one platform to bring everything together.

Solution Implemented

To address these issues, Enaviya created a modern SharePoint Online Intranet Portal. This new portal offers a central location for all types of communication, employee support services, business applications and other important resources. We have implemented a separate section for Policies and SOP’s within the portal. Here, employees can easily search all the latest documents. This helps them to stay informed and follow company guidelines.

Employee Engagement Features

The Portal includes displaying employee’s birthdays, work anniversaries, recognition and other company events. They can also can contribute to polls and other engagement activities. This helps create a more connected workplace.

Fast Access to Business Apps

Employees will have the ability to open SAP, SuccessFactors, IT Helpdesk, Leena AI, YourDost and other apps in one location. The Quick Links feature reduces navigation and provides employees with quick access to important business apps.

Plant Updates and Social Media

Employees can view plant-specific news, local announcements, CSR activities, and company events. Live social media feeds also display the latest company updates. This keeps employees informed across all locations.

Enterprise System Integration

Key enterprise systems such as Azure Active Directory, SAP, SharePoint Online, social media, and internal business applications are all integrated into the intranet portal. This offers smooth user experience.

Mobile Friendly & Responsive Design

The design of the portal works well on desktop computers, laptops, tablet computers or mobile devices. Therefore, employees will continue to have access to all these devices regardless of where they are working.

Secure Access

Using Microsoft’s Azure Active Directory SINGLE SIGN ON (SSO), employees will have secure access to the portal. The good thing is, it eliminates the need for multiple logins and providing secure, role based access to information.
